Sales Templates

A sales template is a type of sales transaction from which a new sale can be created.  Effectively a template can be used as a pantry list of items that a customer buys from you on a regular basis, by using templates the sales process is made a lot faster as the items are already added to the sale and it becomes a simple matter of checking each item and entering the correct quantity.

Customers can have multiple templates, which may be useful for when they are placing orders for different departments of their company or when the orders vary from 2 or 3 different standard lists.  Sales templates can also be shared between handheld devices so that it does not matter which handheld visits the customer, or they can be isolated to a single device.  It is also possible to create a global template which is shared across all devices and all customers.

Sales templates can be used to speed up the sales process and keep an electronic record of a customers pantry list.

 

Creating a Sale from a Template        Creating Sales Templates

Templates can be created in 3 different ways either manually from the handheld device; manually from Desktop Order Entry System; or automatically from new sales made to a customer.  Each method requires a different process.

1.Handheld Device: To create a template from the handheld device, follow the instructions for creating a new sale and set the status to Template.
2.Desktop Order Entry System: To create a template manually from Desktop Order Entry System, follow the instructions for creating a new template in DOES.
3.Automatically: To automate the creation of sales templates, set the profile setting Auto Create Templates to Yes. Sales templates will be automatically created and updated as sales are made on the handhelds.

There are 8 profile settings that affect the behaviour of templates for individual users.

Allow Stock Templates

Allows the creation of stock templates. (Defaults to No)

Auto Create Templates

Controls whether templates are automatically created from sales made on either the handheld or Desktop Order Entry System.  Sales made from the template will automatically update the template by adding and removing items. (Defaults to No)

Copy UOM from Template

Controls whether the Unit of Measure is copied from a template to a sale.  If not enabled, the sale will copy the quantity but use the default unit of measure.  (Defaults to No)

Default Template Quantity to 0

Controls whether the item quantity stored in a template is set to 0 or not. (Defaults to No)

Disable Templates in Status List

Controls whether the template status is available to handheld or desktop users. (Defaults to No)

Enable Template Pricing

If enabled, item pricing can be stored within a template.  The template pricing will override any other pricing set for the customer. (Defaults to No)

Generate Stock Templates Using On Hand Quanity

If enabled, when a stocktake is created from a template, items will be populated with the system quantity. (Defaults to No)

Set Initial Sale Quantities to 0 When Sale Is Created From Template

Controls whether a sale created from a template will populate the sale with item quantities from the template or set values to 0. (Defaults to No)

There are three system settings that affect the behaviour of templates throughout the system.

Disable Template Sharing

Controls whether templates will be shared between handheld and desktop users.  If enabled templates created on handheld devices will be shared. (Defaults to True)

Enable Global Template

If enabled, a global template can be created for all customers using the Desktop Order Entry System.  (Defaults to False)

Enable Multiple Templates per Customer

Allows multiple templates to be created for a single customer.  Note:  If Auto Create Templates is set to Yes, the combination of settings can lead to the creation of many templates. (Defaults to False)

A global template is a universal template that will be assigned to all customers - it is created and edited in the Desktop Order Entry System.  See Sales Templates.

Templates can be accessed and edited from the Mobileezy Handheld App through the customer card.

To access existing templates:

1.Locate the customer card through the cards list.
2.Open the card by tapping on the name.  This will take you to the Card Detail screen.
3.Tap on the Templates button to view a list of any existing sales templates for the customer.

4.To open the sales template, tap on it.

5.Items can be added to the template by tapping on the Add button and adding items individually.
6.Items can be removed by tapping on the item in the list and then pressing the Delete button.
7.The template can be voided by pressing the Void Template button.
8.The template name can be edited by pressing on the Details button

Sales templates can be named, which is a useful feature particularly when a customer has multiple sales templates.  The template is named via the Instructions field which can be filled in either when the template is first created or it can be edited at a later time.  A named sales template will appear in the template list with the template name in parenthesis.

To name a new sales template:

1.After creating the template tap on the Details button from the new sale screen.
2.Enter the name of the template in the Instructions field and press Ok.

To name an existing sales template:

1.Locate and open the template that you want to name, see templates on the handheld device.
2.Tap on the Details button

3.Enter the template name in the Instructions field. Note: Only the first 14 characters will be displayed.
