Profile Settings

This topic contains the full list of available profile settings found in the Profiles tab, under the Setup icon in Mobileezy.  These settings control the behaviour of the handheld software and also the Desktop Order Entry System.  You may find that some of the settings listed are not present in your installation as a number of profile settings are controlled by the software licence key.  If this is true for a section, it will be stated in the subtopic header.

 

In this section, the settings have been grouped as per the subheading found within the Mobileezy software.  Many of these profile settings are referred to in other places within this guide.

 

This topic contains a complete listing of all profile settings by their category.  Descriptions below can also be found within the Setup > Profiles tab in the Desktop Administrator.

Cards        Cards

Setting

Description

Allow Customer Cards

Enables the sending of customer cards from the Accounting System to the handheld. (Defaults to Yes)

Allow Employee Cards

Enables the sending of employee cards from the Accounting System to the handheld. Must be enabled to allow the employee to login. (Defaults to Yes)

Allow New Cards

Enables new cards to be created on the handheld or Desktop Order Entry System. On the handheld, a new button is made available under the cards tab.  In Desktop Order Entry System a new customer button is available when creating a sale. (Defaults to Yes)

Allow Personal Cards

Enables the sending of personal cards from the Accounting System to the handheld. This card type is only applicable to MYOB. (Defaults to Yes)

Allow Supplier Cards

Enable the sending of supplier cards from the Accounting System to the handhelds.  Required if using the Purchasing Module. (Defaults to Yes)

Show AR Balance

Enables the handhelds to display the customers' Accounts Receivable balance on the card detail screen. (Defaults to No)

Show Employee Details

Enables employee details of the employee currently logged onto the system to be viewed from the handheld. (Defaults to No)

Consignment (requires the Consignment Module        Consignment (requires the Consignment Module)

 

Setting

Description

Use Consolidated Consignment Mode

Enables the use of Consolidated Consignment Mode on the handhelds. During a consignment sale, the stock quantity to be replaced at the location will be the total amount, not just the amount to be replenished. (Defaults to No)

Use Vending Consignment Mode

Enables vending consignment mode. (Defaults to No)

Desktop Order Entry (requires the Desktop Order Entry System)        DOES (requires the Desktop Order Entry System)

Allow Edit Tax Code

Controls the ability to alter the tax code on sale or purchase line items. (Defaults to No)

Allow Edit Voided Transactions

Controls whether voided transactions are available for view or editing. (Defaults to No)

Always Allow Edit User

Controls whether the user on the sale can be edited in DOES. When set to 'no', the user assign to selection is not available.  Must be enabled when creating new visits from DOES. (Defaults to Yes)

Auto Remove Empty Lines

When enabled, this option will scan through the sale when it is saved, removing any lines that have a current quantity of 0.  Recommended to use if sales are created from templates and 'Default Template Quantity to 0' or 'Set Initial Sale Quantities to 0 When Sale is Created From Template' is set to 'Yes'.   (Defaults to No)

Auto Remove Note Only Lines

When enabled, this option will scan through the order when it is saved, removing any lines that have current quantity of 0 and contain a note (Defaults to No).

Consolidate Scanned Items

Controls whether individual line items or a consolidated line item is displayed when a unit is scanned multiple times.  This behaviour affects both DOES and the handheld (Defaults to No).

Copy Card Note to Comment

When enabled, notes from the Customer card will be copied into the comments field of the transaction when the customer is selected.  Only occurs if the notes field is currently empty. (Defaults to No)

Description Mode

Controls the display in the description column.  Options are 'Description', 'Long Description' or 'Description - Long Description'.  (Defaults to Description)

Remove Employee from WIP Trans

Automatically removes the employee name from WIP transactions when edited. (Defaults to No)

Show Carton Quantity and Instruction Fields

Controls whether the carton quantity and instruction fields are displayed. (Defaults to No)

Show Customer locations in Stock Transactions

If enabled, the customer location will be selectable as the target of a stock transaction in DOES. Recommended for consignment sales or when using the Container Tracking Module.  (Defaults to No)

Show Discount Column

Controls whether a discount column is displayed between the Price and Notes column.  This column will display any existing discount and allow the user to edit the discount value for each line item. (Defaults to Yes)

Show Job Code Column

Controls whether a job code column is displayed between the Notes and Tax Code columns.  This column will allow the user to select a job code imported from the Accounting System for each line item. (Defaults to No)

Show Quantity on Hand

Controls whether the quantity on hand column displaying stock levels is shown between the Notes and Tax code columns.  If enabled, this column will display the stock on hand value of items for the selected location. (Defaults to No).

Show Sales History

Controls whether 3 additional columns are displayed showing item sales for the last three transactions of each line item.  Requires the Advanced Sales History Module. (Defaults to No)

Show Tax Code Column

Controls whether the tax code column is displayed between Job Code and Total column.  This column displays the tax code, to edit it also enable 'Allow Edit Tax Code'. (Defaults to Yes)

Show Transactions Generated from Handheld

Controls whether sales transactions created on the handhelds are displayed in the transaction list in the Desktop Order Entry System. (Defaults to Yes)

Show Units of Measure Column

Controls whether the Unit of Measure column is displayed.  Requires units of measure to be imported from Accounting System or the Advanced Barcoding & UOM Module. (Defaults to No)

Profile Setting

Behaviour

Allow Activity Slips

Enables the slips tab on the handheld and the creation of activity slips for time billing.  Only available with MYOB.  This feature is not compatible with the 'AllowStock' feature. (Defaults to No)

Allow Branch Type

Controls handheld access to stock locations.  'All Core Branches' allows access to all top level locations and the user default.  'All Core & Local Sub Branch Set' allows all top level locations and all locations in the branch of their default. 'Single Core & Local Sub Branch Set' allows all locations within the branch of their default.  'Default & Core Branch Only' allows their default and top level of their branch.  'All' allows access to all. (Defaults to All)

Allow Change Login

Allows the handheld user to change the current logged on employee after transactions have been created.  When set to 'No', the handheld must be synchronised before the employee can be changed. (Defaults to No)

Allow Create Transactions

Controls whether the handheld can create new transactions. (Defaults to Yes)

Allow Edit Invoice Date

Controls whether the user can edit the transaction date on the handheld. (Defaults to Yes)

Allow Edit Preferences

Controls whether the handheld user has access to the handheld preferences menu. (Defaults to Yes)

Allow Editing of Customer Cards

Controls whether customer cards can be edited from the handheld. (Defaults to No)

Allow Sales

Controls whether the handheld user can create new sales. (Defaults to Yes)

Handheld Inc Tax mode

Enables the use of tax inclusive pricing on the handheld Screens. This does not affect handheld printing, handheld reports or any desktop components. (Defaults to No)

Lock on Print

Controls whether the handheld transaction is locked from being edited after printing.   (Defaults to No)

Remember Logged On User

Controls whether the handheld user must logon after syncing.  'Don't Remember' requires logon after every sync, 'RememberOnQuickSync' requires logon only after full syncs, 'RememberOnAllSyncs' never requires logon.  (Defaults to Don'tRemember)

Show Sales History On Handheld

Controls whether Sales History mode is available to the handheld user.  If enabled, the previous 3 sales for a customer will be available from the handheld.  Requires Advanced Sales History Module.  (Defaults to On)

Select Location when creating Sale

Enabling this setting will remove the ability to select a location when logging on, and force the user to select the location when creating a sale instead. (Defaults to No)

Show Quantity on Hand

Controls whether the quantity on hand is displayed for items on the handheld.  (Defaults to Yes)

Sort Handheld Transaction Lines

Controls whether transaction line items on the handheld are sorted or retain the order in which they are added to the transaction.  Can be configured to sort by 'item code', 'item description' , 'bincode' or 'jobcode'.  Sorting will place numbers before letters. (Defaults to No)

Use Container Item Returns System

Enables the container returns system on the handheld.  When set to 'Yes', the handheld will prompt the user to record the return of items configured in Container Management. (Defaults to No)

Profile Setting

Behaviour

Enable Alternate Units of Measure

Enables the selection of different Units of Measure on the handheld for an item if that item has multiple Units of Measure configured. (Defaults to No)

On Hand Quantity Includes Current Line

Controls whether the stock on hand display for a line item includes the selected quantity. (Defaults to No)

Show On Hand Quantity

Adds a field to the item information screen on the handheld which will show the current stock quantity for the selected item at the current sell location. (Defaults to No)

Allow Reconciliation Summary Report

Controls whether the Reconciliation Summary Report is available in the handheld reports menu. (Defaults to No)

Allows the 'Factory' location to be selected as a stock location on the handhelds. (Defaults to No)

Allow Scanning New Items To Picking Slip

Controls the ability of a handheld picker to Scan new items to Picking Slips. This can be used to prevent Picking errors caused by accidentally scanning the wrong item.  Options are 'No', 'Yes' or 'Warn'. (Defaults to Yes)

Create Backorder Picking Slip from Invoice

When this option is enabled, if a picked invoice is sync'd with the picked quantity less than the ordered quantity, a new picking slip will be created with the remaining quantities to be delivered. (Defaults to No)

Enable Pick Mode Ability

Enables picking feature for the profile.  (Defaults to No)

Enable Pick Quantity Warning

Controls whether a warning is provided on the handheld when the quantity picked does not match the order. (Defaults to No)

Enable Van Picking

Enables van picking on the handheld.  When set to 'Yes' this will trigger the handheld to move directly to a picking screen after an order is raised.  This option is independent of the chosen pick mode in system settings. (Defaults to No)

Require Carton Quantity

Controls whether the handheld user is forced to enter a carton quantity when picking on the handheld. (Defaults to Yes)

Show Advanced Picking Options

Enables two additional buttons on the handheld.  'Reject All' on the sync screen and a 'Pick All' button on the picking screen. (Defaults to No)

Point of Sale        Point of Sale

Behaviour

Allow Point of Sale Mode

Enables point of sale mode on the handheld.  Options are 'Off', 'Cash Customers', 'Account Customer Only' and 'All Customers'. (Defaults to Off)

Lock Transactions When Complete

Controls whether POS transactions are locked from editing on the handheld after completion. (Defaults to Yes)

Quick Finish Button

Adds a 'Done' button to the first Point of Sale screen which completes the current transaction marking it as fully paid. (Defaults to No)

Purchases (Requires the Purchasing Module)        Purchases (Requires the Purchasing Module)

Allow Purchases

Enables the purchasing module for the user.  When set, puchase orders can be created on the handheld or DOES.  Requires the Purchasing Module. (Defaults to No)

Days Backward

Controls the number of days prior to the sync date for routes to be sent to the handheld.  The handheld user will be able to look backwards this many days to view historical schedules.  (Defaults to 7)

Days Forward

Controls the number of days forward from the sync date that routes are sent to the handheld. The handheld user will be able to look forward this many days to view future schedules. (Defaults to 45)

Limit Cards to Routing Schedule

Controls the number of templates and cards on a handheld by only populating the data which is required to fulfill upcoming routing events. (Defaults to No)

Routing Enabled

Controls the availability of runlists on the handheld.  When enabled and schedules created, a 'Runlist' button is available from the cards tab. (Defaults to Yes)

Sales        Sales

Profile Setting

Behaviour

Allow Change Customer

Controls whether the handheld user is able to change the customer on a transaction after line items have been added.  (Defaults to No)

Allow Change Invoice Status

Controls whether a warning message is displayed on the handheld when changing the status of sales transaction. (Defaults to Yes)

Allow Edit Invoice Number

Controls whether the handheld user can change the invoice number when making new sales.  (Defaults to Yes)

Allow Payments while Locked

Controls whether a payment can be taken on a locked sales transaction.  When using Reckon Accounts, this will enable transactions to be re-exported with new payment amount.  (Defaults to No)

Allow Price Changes

Controls whether the handheld user can manually change item prices.  (Defaults to Yes)

Auto Add Labour

Automatically adds a labour charge whenever a user enters a transaction. The labour component will reflect the time (in hours) spend attending to a transaction.  The labour item is configured in the system setting  'Handheld.AutoAddLabourItemCode'. (Defaults to Off)

Automatically Bill To Head Office

Automatically sets the billing customer to be the head office customer on the handheld.  Required to enforce setup configured in Head Offices. (Defaults to No)

Consolidate Item Pricing

Controls whether a separate price and discount or a consolidated final price is sent to the handheld, masking the actual discount used .  For example, if the price is $10 with a discount of 10%, only the final price of $9 will be sent to the handheld. (Defaults to No)

Consolidate Scanned Items

Controls whether individual line items or a consolidated line item is displayed when a unit is scanned multiple times.  This behaviour is also configured under handheld preferences.  Only affects the Desktop Order Entry System.  (Defaults to No)

Credit Hold Mode

Controls whether credit hold set in theAccounting System affects sales on the handheld. 'Off' ignores credit hold settings on a customer. 'Warning' gives the user the choice of ignoring the credit hold. 'No Exceed' will return a salesperson to the main screen if a customer on credit hold is selected - no sale will be possible. 'Require Authorisation' will result in the salesperson being blocked unless an unlock code generated by the Remote Auth tool is entered.  (Defaults to Off)

Credit Limit Mode

Controls whether credit limit set in theAccounting System affects sales on the handheld. 'Off' disables credit limits on the handhelds, 'Warning' shows a warning when the credit limit is about to be exceeded and gives the user a choice on whether to proceed. 'No Exceed' stops the sale from proceeding until the sale amount will not exceed the credit limit. 'Require Authorisation' will result in the salesperson being blocked unless an unlock code is entered.  The unlock code is generated using the Remote Auth tool.  (Defaults to Off)

Display Cost Price

Controls whether the cost price is displayed on the handheld.  The cost price displayed (average or custom) is configured under the Pricing tab.  (Defaults to No)

Don't Alter Pricing When Consolidating Scans

When set to 'Yes' and 'Consolidate scanned items' is set to 'Yes', the price of a scanned item will be set to the same as the price of the current line.  If set to 'No', the price of a scanned item will be set by the barcode or looked up in the catalog and the line price will be adjusted to the new line total divided by line quantity.  (Defaults to Yes)

Enable Bin Code Mode in Sales Item Screen

Controls whether the Bin Code column is displayed instead of pricing information in the sales item information screen on the handheld.  Only available in Reckon Accounts and Attaché.  The Bin Code source must be configured in the Datalink Setup. (Defaults to No)

Enable Sales Wizard

Controls whether the Sales Wizard is enabled on the handheld.  The Sales Wizard allows you to manage creation of multiple template sales at a site, then combine the sales into a single sale before completion.  (Defaults to No)

Enforce Minimum Price (Base)

Prevents the handheld user entering an item sale price below the base price.  (Defaults to No)

Enforce Minimum Price (Cost)

Prevents the handheld user entering a price lower than the cost price.  'Display Cost Price' must also be enabled for this feature to function. (Defaults to No)

Force Salesperson to Customer Default

Controls whether the salesperson on a transaction created on the handheld is automatically set to the default salesperson on the card in your Accounting System. If set to 'Yes', the handheld user will be unable to set the salesperson unless the profile setting 'Allow Change Login' is also enabled. (Defaults to No)

Require Payment

Requires that a payment is taken for all sales, including both Cash and Account customers. (Defaults to No)

Require Printed Name With Signature

Controls whether the handheld user is required to record a name when a signature is taken. (Defaults to Yes)

Require Purchase Order

Controls whether the handheld user is required to record a purchase order number before a sale can be completed. (Defaults to No)

Require Signature

Controls whether the handheld user is required to record a signature for all transactions. (Defaults to Yes)

Secure Sale Enter

Requires the handheld user to scan a customer barcode or enter an authorisation code to create or resume a sale.  Authorisation code can be created using the Remote Auth tool. (Defaults to No)

Secure Sale Exit

Requires the handheld user to scan a customer barcode or enter an authorisation code to complete a sale.  Authorisation code can be created using the Remote Auth tool. (Defaults to No)

Show Pricing

Controls whether item pricing is displayed on the handheld. (Defaults to Yes)

Allow Pricing Overrides

Controls whether the pricing override system is in effect.  When set to 'Yes' and 'Allow Price Changes' is set to 'No'  the handheld user is required to enter an authorisation code generated by the Remote Auth tool to alter item pricing. (Defaults to No)

Stock (Requires the Stock Module        Stock (Requires the Stock Module)

Allow Stock

Controls whether stock transactions can be completed by the handheld user.  If set to 'Yes' and one or more stock transactions are selected from the 'Sales Types', a stock tab will be available on the handheld.   (Defaults to Yes)

Do not increase quantity when an item is scanned

Controls whether a transaction line item will increment by one when an item is scanned.  (Defaults to No)

Live Stock on Handheld

Controls whether live updates of stock balances at the default location for Done transactions on the handheld device are turned on. For this feature to work, both the profile setting 'Send  mobileezy Stock Levels to Handheld' and the system setting 'Send mobileezy Stock Levels to Handheld' must also be enabled. (Defaults to No)

Receive Stock Concerns

Controls whether the handheld user will receive stock concerns when they are created.  Does not require the 'Stock Concern' sales type or 'Allow Stock' to be enabled. (Defaults to No)

Send Stock Levels to Handheld

Enables stock levels to be viewed during stock transactions on the handheld.  For stock levels to be viewed during stocktakes, 'Show Stock Levels on Stocktakes' must also be enabled. (Defaults to Yes)

Show Quantity On Hand on Line Item Screen

If enabled, the on hand quantity for the currently logged on location will be displayed on the item information screen instead of the base price.  (Defaults to No)

Show Stock Levels on Stocktakes

Controls whether stock levels can be viewed during stocktake transactions on the handheld.  (Defaults to No)

Stock Quantity Warning on Handheld

Controls whether the handheld will display a warning if the sale amount exceeds current on hand quantity for the logged on location.  (Defaults to No)

Templates        Templates

Profile Setting

Behaviour

Allow Stock Templates

Enables the creation and use of stock templates containing stock transaction type, from and to location and line items.  (Defaults to No)

Auto Create Templates

Controls whether templates are automatically created and updated when sales are created to customers.  If enabled, a template will be automatically created on the first sale made to a customer and items added and removed (with a prompt) as further sales are made.  (Defaults to No)

Copy UOM from Template

When enabled, this setting will copy the Unit of Measure from the template to the created sale. If it is not enabled, the sale will copy the quantity but use the default unit of measure.  (Defaults to No)

Default Template Quantity to 0

Controls whether the template stores the item quantity as 0 or the entered value. (Defaults to No)

Disable Templates in Status List

Controls whether the template status is available to handheld users when creating or modifying sales.  (Defaults to No)

Enable Template Pricing

Controls whether item prices stored in a template will override any other pricing in Mobileezy when a sale is created from that template.  (Defaults to No)

Generate Stock Templates Using On Hand Quantity

Controls whether stock adjustment and write-off transactions derived from a template have their item quantities automatically filled in based on current stock quantity.  Requires 'Live Stock on Handheld' to be set to 'Yes'.  (Defaults to No)

Set Initial Sale Quantities to 0 When Sale is Created From Template

Controls whether a sale created from a template will use the item quantity stored in the template or will set all item quantities to 0.  If set to 'Yes' the handheld preference 'Auto Remove Empty Lines' should also be selected. (Defaults to No)
