Customer Territories

Customer Territories are used to group customers together for assignment to Handheld users and also to underpin the setup of Runlist Module.  A customer Territory is effectively a group of customers which is created and defined by you.  It can include as few as one customer and as many as the entire customer list.  When setting up your territories, it is important to remember that a customer can only belong to a single territory however that territory can be assigned to multiple Handheld users.

Customer territories must be defined if you plan on setting up recurring visits for your customers using the Runlist Module.

When would customer territories be used?        When to use customer territories

Customer Territories are used for the following reasons:

1.To manage the customer list available to each handheld user:

You have over one thousand customers dispersed across 3 distinct regional areas which are serviced separately by one of 3 sales reps.  Each of your sales reps will be using a Mobileezy handheld and will be assigned a handheld user.  You want to divide the customer list so that each sales rep only has access to the customers in their region.  Using customer territories, you would set up 3 customer territories, one for each of the regional areas and then assign all of the customers within that area to the customer territory.  You would then assign the customer territory to the sales rep servicing the area.

 

2.To remove access to certain customer from all handheld users

You have a few hundred customers, who can be grouped into two types.  One group always place their orders by phone or email and are never visited by a sales rep or delivery driver.  The other group are visited by your sales reps regularly placing their orders and receiving deliveries in person.  The phone and email group do not need to be available on the handheld devices.  In this case, you would create two Territories, one for each group.  You would assign all the phone and email customers to one customer territory and all the visited customers to the other territory.  You would then assign the visited customer territory to all of the handheld users.

 

3.To underpin setup of the Runlist Module.

You plan to use Mobileezy to manage your customer runlists.  You have 30 runs each of which recur fortnightly, giving you 3 runs each day.  You divide your customers into regional groups and create territories for these to support the later creation of recurring customer visits.

Customer territories are created under the Territory icon, under Customer Territories > Manage Customer Territories.  The new territory name is first created, then customers assigned to the territory and then the territory assigned to the users.

1.From the Territory icon, click on the Customer Territories tab and select Manage Customer Territories.
2.Click on the New Territory button, enter the name of the Territory and click the OK button.
3.When complete the Territory will now appear in the list.

How to edit a customer territory        How to edit the name of customer territories

Once created, the customer Territory name can be edited at any stage. To edit a customer territory:

1.From the Territory icon, select the Customer Territories tab and then select Manage Customer Territories.
2.Highlight the Territory you wish to edit by selecting it's name from the list
3.Click on the Edit Territory button, and edit the name of the Territory in the edit territory dialogue
4.Click the OK button.
5.Synchronise all handheld devices using the full sync to update the handhelds with the new territory name.

How to delete a customer territory        How to delete a customer territory

Customer Territories can be deleted at any time.  Be aware that, when a customer territory is deleted, the deletion is final and any assignment of customers to the territory will be lost.  On the next synchronisation, any handheld users who have been assigned that territory will lose access to those customers (unless other measures have been taken to maintain that access).

To delete a customer territory:

1.From the Territory icon, select the Customer Territories tab and then select Manage Customer Territories.
2.Highlight the Territory to be deleted by selecting its name from the list.
3.Click on the Delete Territory button
4.Mobileezy will give a warning dialogue asking if you are sure you want to delete the territory.  Press the OK button.
5.The territory will be deleted.

Note: Once a territory has been deleted, there is no way to undo this action.

How to assign customers to customer territories        Assigning customers to Customer Territories

After creating your territories in the Manage Customer Territories tab, you will need to assign customers to the territories.

1.From the Territory icon, select the Customer Territories tab and then select Customer Territories.

To assign selected customers:

3.To assign selected customers highlight the customers by clicking on the customer name in the Unassigned Customers window on the right.  To select multiple customers, hold down the Ctrl key and click on the name of the customers to be assigned.

4.Press the Assign_Left_Arrow to assign the selected customers to the territory.  This will move the customers out of the Unassigned Customers window on the right and into the Assigned Customers window on the left.  Once assigned to a territory, these customers cannot be assigned to another territory unless they are unassigned from the current territory.

To assign all customers to the selected territory:

5.After selecting the territory, press the Assign All_Left button.  Mobileezy will give you a warning message asking if you are sure you want to complete the assignment.  Press the OK button.

Note: When performing this action, it is not necessary to select the customers in the Unassigned Customers window.  This action cannot be undone.

How to unassign customers from a territory        Unassigning Customers from a Territory

At times you may need to unassign customers from their assigned territory.  This may be because you no longer require the customer card to be available to handheld users, you want to split a single territory into two separate territories or simply because you have made a mistake.

To unassign customers from a territory:

1.From the Territory icon, select the Customer Territories tab and then select Customer Territories..
2.Select the desired territory from the drop down list

To unassign selected customers from the territory:

3.Highlight the customers you want to unassign from the territory by clicking on the customer name in the Assigned Customers window on the left.  To select multiple customers, hold down the Ctrl key and click on the name of the customers to be unassigned.

4.Press the Assign_Left_Arrow to unassign the selected customers from the territory.  This will move the customers out of the Assigned Customers window on the left and into the Unassigned Customers window on the right.  These customers will now become unassigned and become available for assignment to another territory.

To unassign all assigned customers from the selected territory:

5.After selecting the territory, press the Assign All_Right button.  Mobileezy will give you a warning message asking if you are sure you want to complete the unassignment.  Press the OK button.

Note: When performing this action, it is not necessary to select the customers in the Assigned Customers window.  This action cannot be undone.

How to assign customer territories to handheld users        Assigning Customer Territories to Handheld Users

Assignment of customer territories to handheld users is completed in the Territories icon, under the Customer Territories tab and the Territory Users tab.

To assign customer territories handheld users:

1.Under the Territories icon, select the Customer Territories tab and then select the Territory Users tab.
2.Select the user that you wish to complete the Territory assignment for from the Select User drop down list.

3.Select the Territory that you wish to assign by clicking on its name from the Unassigned Customer Territories window on the right.  To assign multiple territories at once, select the desired territories by holding down the Ctrl key and clicking on their name in the Assigned Customer Territories window.

4.Click on the Assign_Left_Arrow button to complete the assignment.  This will move the selected territory or territories from the Unassigned Customer Territories window to the Assigned Customer Territories window.

5.To assign all unassigned territories to the selected handheld user, press the Assign All_Left button.

At times you will need to unassign territories from handheld users.  To do this:

1.From the Territories icon, select customer territories and then select territory users
2.Select the user that you want to unassign the territories from in the select user drop down list
3.The list of currently assigned territories will appear in the Assigned Customer Territories window
4.To unassign individual territories, select these territories by clicking on them.  Hold down the ctrl key to select multiple territories at once.
5.Press the Assign_Left_Arrow button to complete the unassignment.
6.To unassign all territories at once, press the Assign All_Right button.
