Using Customer Groups

Customer groups are used to group a number of customers together in order to apply special pricing and discounts, rebates or levies to a group of customers at once instead of to each customer on an individual basis.  A customer group can have as few as one customer or as many as your entire customer list and a customer can belong to multiple customer groups.  Customer groups are managed under the Customer Groups tab under the Pricing icon.

Customer groups are used to apply special prices, discounts, rebates or levies to groups of customers.

These are often used when you can easily group your customers together for pricing purposes, or when you want to provide a discount to a subset of your customers, rather than all customers in your customer list and you don't want to use price levels.

1.You want to provide a specific discount to a defined subset of your customers for a few products

You have a group of customers whom you consider to be 'Gold Class' customers and you would like to offer only those customers a discount on certain product lines from time to time.  In this case, you would create a customer group for Gold Class customers and create timed special pricing and discount events as required.

2.You have a set pricing arrangement for certain product lines for a group of stores

Example        Example

You service a group of stores, such as a chain of convenience stores, petrol stations or supermarkets and you have pricing that is specific only to that set of stores.  In this case you would create a customer group for the chain of stores and setup a price list specific to them, using the special pricing and discounts.

3.You have defined sets of customers and you do not want to use price levels to manage the pricing

You have a few types of customers that are easily recognised such as retail, wholesale and trade and for which each have a different set of pricing.  Due to the number of customers, it is less time consuming for you to use the special pricing and discounts to manage pricing instead of price levels.  In this case, you create a customer group for each of these types of customers and setup a price list using special pricing and discounts for each group.

New customer groups can be created at any time under the Pricing > Customer Groups tab.  To create a new customer group:

1.Click on the New button.
2.Enter the name of the group in the Group Name field and then press the OK button. NB:  You cannot edit this name after it is created, so be careful in your naming.
3.Assign Customers to the group by click on their name in the right hand window and then using the Assign_Left_Arrow to assign these customers to the group.  To select multiple customers hold down the Ctrl key during selection.
4.To assign all customers use the Assign All_Left button.

HINT:  If your customer group consists of most of your customers it may be faster to assign all the customers and then unassign the few customer who are not within through group by using the Assign All_Right button.

Customers can be added or removed from a group at any time, the name of the group cannot be edited.

To edit a customer group:

1.Locate the customer group by selecting their name from the Group filter.  To find the group from the list, start typing the name of the group in the filter.
2.Remove customers from the group by selecting the customer name in the left window (assigned customers) and then pressing the Assign_Left_Arrow button to move them to the right window (unassigned customers).  Hold down the Ctrl key to select multiple customers.  All customers can be unassigned at the same time by pressing the Assign All_Right button.
3.Add customers to the group by selecting the customer name in the right window (unassigned customers) and then pressing the Assign_Left_Arrow button.  Hold down the Ctrl key to select multiple customers.  All customers can be unassigned at the same time by pressing the Assign All_Left button.

A customer group can be deleted at any time by selecting the name from the Group filter and then pressing the Delete button.  Deleting a customer group cannot be undone.  Any special pricing that has been created against the group will be lost when the group is deleted.

It is possible to use MYOB to manage your customer groups through the use of custom lists on the customer card.  Mobileezy will automatically create new customer groups based on custom lists that you have defined within MYOB and added to the customer card when the datalink is run.  It will also update existing customer groups if the custom list is altered on the customer card in MYOB.

Customer groups that have been created from MYOB custom lists will have the folllowing naming convention:

MYOB:Customer:Custom List Name:Custom List Item

 

To use MYOB to manage your customer groups:

1.Setup Custom lists in MYOB and add these to the relevant customer cards

2.Run the Datalink
3.New customer groups will have been created and any customers with the list entry in MYOB will be added to the list.
