Managing Item Properties

Item properties are managed under the Setup icon in the Item Properties Manager tab on the Desktop Administrator.  When managing the item properties you must create the property and then assign it to each of the products for which you wish to record it.  The item property manager also gives you the ability to define whether the property is mandatory, on which types of transactions it is required and its print style.

Item properties are a useful for recording additional information about a product during a sales or stock transaction.

When to use Item Properties        When to use Item Properties

Item properties should be used when you want to enforce the recording of additional information against an item during a sale (order or invoice); or stock transaction.  This may be a useby date, batch number or some other information such as colour, style or shape.  It should not be used for the recording of general transaction notes.

To enable item properties, the property type must first be created and then that property assigned to the items for which you want to record it.  You can create many different types of item properties, these can be assigned to a single or many product codes.

New item properties are created under the Setup icon, Item Properties Manager tab and the Manage Item Properties tab.

To create an item property:

1.Click on the New button

2.Enter a Name for the property (this is the text that will be displayed on the Mobileezy Handheld Application)
3.Enter a Description (this will be displayed on the invoice an in the Desktop Administrator)
4.Select the Type of property from the drop down list
5.Select the Print Style
6.Select the transaction types it is mandatory for in the Required drop down list
7.Tick the Copy to Notes checkbox if you want the property to be copied into the notes field for export to the Accounting System.

8.Press the Save button.

One the item property is created you will then need to add it to your product lines.

Properties        Types of Item Properties

The available types of item properties are:

Property Type

Description

Example Use

Date Field

Custom field requiring input in date format.

Recording Use-By or Best-Before date where barcoding is not in use.

List

Allows creation of custom pick lists for selection during invoicing, order taking or stock transactions.

Recording colour, type, style or flavour on a sold product.

Number Field

Custom field requiring input in number format.

Recording any numerical information against an item such as batch number or serial number where barcoding is not in use.

Text Field

Custom field requiring input in text format.

Recording any text against an item such as a discount code or customer specific requirements.

Check Box

Custom field with on/off input.

Recording a yes/no or on/off status of an item, for example whether a promotional item has been provided or whether some information has been checked.

Item Group

Custom property that enables grouping of multiple items together.  Item groups will be added to the item list and become available for selection on a transaction.

Simplifying the addition of items to a invoice by selecting from a group of items instead of a full product list.

EAN Batch Number Field

EAN compliant batch number field.

Recording Batch Number on transactions from EAN compliant barcodes containing the item batch number.

EAN Production Date Field

EAN compliant production date field.

Recording Production Date on transactions from EAN compliant barcodes containing the item production date.

EAN Due Date Field

EAN compliant Due Date field.

Recording Due Date on transactions from EAN compliant barcodes contain the item due date.

EAN Packaging Date Field

EAN compliant Packaging Date field.

Recording Packaging Date on transactions from EAN compliant barcodes contain the item packaging date.

EAN Serial Number Field

EAN compliant Serial Number field.

Recording Serial Number on transactions from EAN compliant barcodes contain the item serial number.

EAN Best Before Date Field

EAN compliant Best Before Date field

Recording Best Before Date on transactions from EAN compliant barcodes contain the item Best Before Date.

EAN Expiration Date Field

EAN compliant Expiration Date field.

Recording Expiration Date on transactions from EAN compliant barcodes contain the item expiration date.

EAN Company Code 1 Field

EAN compliant Company Code 1 field

Recording company specific information recorded in an EAN compliant barcode using the Company Code 1.

Types of Print Style        Types of Print Style

When setting up the item property, there are three selections for print style on the invoice replication report.  These are described in the table below:

Print Style

Description

Consolidate

Item properties are not listed individually on the printed invoice.

Expanded, Non Priced

Item properties are listed individually with the quantity but no price on the printed invoice.

Optional for All Types

Item properties are listed individually with both quantity and price on the printed invoice.

List Property        Using the List Property

Using Lists as an item property is a useful way of recording information such as colour, style, type, size or flavour during the sale or stock movement of a product but without requiring a separate product code or SKU in your Accounting System.  Setting up a list property has an additional step during the creation process.

To create an item property List:

1.From the Setup tab select the Item Properties Manager tab
2.Press the New button and enter a Name and Description for your list property
3.Select List from the Type drop down list
4.Select the print style, display mode and the transaction requirement.
5.Press Edit List to enter the list items

6.Press New and enter the list item in the Name field and press Save

7.Continue until all items have been added to the list and then press the close button.
8.To edit a list item, click on the item and then press the edit button.
9.To remove items from being available in the list, uncheck the item property in the list.

One the item property is created you will then need to add it to your product lines.

One you have created the item property it must be added to the product lines for which you want to record it.  This is done under the Setup tab under Item Properties Manager and Manage Item Properties Relationships tab.

Item properties can be added to your product lines in either the Item by Item Property tab or the Item Property by Item tab.

Item by Item Property tab

1.Select the Item Property from the drop down list
2.Select the Item Code from the Unassigned window on the right side by clicking on it (hold down the Ctrl key to select multiple items).
To filter for an item, enter the item code in the filter field.
To select all items in the Unassigned window press the Select All button, to deselect all items in the Unassigned window press the Select None button.
3.Press the Assign_Left_Arrow to assign the item to the property(s).

Item Property by Item tab

1.Select the item from the list in the Items window (use the scroll bar to move up and down the list)
2.Unassigned item properties will be shown in the Unassigned Item Properties window (Double clicking on the item will display currently assigned item properties)
3.Select unassigned properties by clicking on the property name in the Unassigned Item Properties window.
4.Press the Assign_Left_Arrow to assign the property to the selected item.
